ShareIT Procurement

ShareIT offers its members IT hardware, software, licensing, and services all at a lower cost.

The Alberta ShareIT shared procurement program is managed by ÖªÒõÊÓƵ, and led by Alberta's post-secondary sector. K-12 school boards, as well as municipalities and municipal affiliates are able to join and become consumers of any existing procurement or training service agreements.

ShareIT facilitates procurement in a fair, open, transparent and competitive manner.

Our sourcing process complies with the applicable Canadian trade agreements for the Municipalities, Academia, School Boards, and Health Regions sector.

  • Develop business case for approval from Oversight Committee based on opportunity identification research
  • Identify members who could participate in project
  • Engage members to establish a working group

  • Develop RFx strategy and direction
  • Define requirements and scope with working group
  • Draft RFx and finalize documents with participating members

  • Publish RFx notices on and , in accordance with trade agreement standards
  • Issue addendums and Q&A documents, if applicable

Evaluation

  • Working group members evaluate the responses
  • Consensus meeting scheduled with working group
  • Award recommendation goes to oversight committee for approval

  • Oversight committee approves award recommendation
  • Negotiate details and finalize agreement with preferred proponent(s)
  • Host kick-off session with selected proponent(s)

  • Analyse quarterly reporting from vendors
  • Conduct ongoing business reviews and issue resolution with vendor partners
  • Monitor key performance indicators (KPIs) and service level agreements
  • Work with vendor and participating members to derive maximum value
